This Privacy Policy explains how Rentive Canada Ltd. handles your personal information. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).
Rentive Canada Ltd. ("Rentive", "we", "us", or "our") operates a two-sided rental marketplace. This Privacy Policy explains what personal information we collect, how and why we use it, who we share it with, where it is processed, and the choices and rights you have. By using the Service, you consent to the collection, use, and disclosure of your personal information as described here. The Service is intended for residents of Canada.
Rentive is responsible for the personal information under its control. We have designated a Privacy Officer who is accountable for our compliance with applicable privacy law. You can reach our Privacy Officer with any question, request, or complaint about your personal information at support@rentive.ca (please mark your message to the attention of the Privacy Officer).
Account information
When you create an account, we collect your name, email address, and authentication credentials through our authentication provider (currently Clerk). You may also sign in with a third-party provider such as Google, which shares basic profile information with us.
Profile information
Depending on your role, you may provide:

Renters: budget range, preferred cities and neighbourhoods, move-in date, number of bedrooms and bathrooms, pet ownership, employment status, income range, credit-score range, rental history, references, biographical details, preferred features, and photos of your current living space. Some of this is sensitive information, which we handle accordingly.
•
Landlords: company name, property listings (address, rent, bedrooms, bathrooms, amenities, photos, and approximate geographic coordinates), and billing information for paid subscriptions.
Identity verification information
Landlords may choose to verify their identity through our identity-verification provider (currently Stripe Identity). If you do, you provide an image of a government-issued photo ID and a self-portrait ("selfie"), which the provider compares using automated facial-recognition technology ("biometric verification"). This biometric comparison is performed by the provider; we receive only your verification status and limited verification details, and we do not receive or store your biometric data. Your ID image and selfie are not shown to renters or other users. Because biometric information is sensitive, we rely on your express consent: by starting identity verification, you expressly consent to this collection and biometric processing. Identity verification is optional; if you decline, you can still use Rentive and send offers, but you will not receive the verified-landlord badge and will be shown to renters as unverified. The provider retains and then deletes your ID and biometric data in accordance with its own policies and applicable law.
AI-feature inputs
If you use our optional "fill it in for me" feature, the text or listing link you submit is sent to our third-party AI provider (currently Anthropic) to extract structured information and suggest field values. This is described further in Section 5.
Usage information
We automatically collect information about how you interact with the Service, such as your last-active timestamp, offer response rate, average response time, pages visited, and actions taken (such as sending offers, accepting offers, or expressing interest in properties), along with technical data such as IP address and device or browser information collected through our hosting and infrastructure providers.
Photos and images
Photos you upload (profile photos, living-space images, and property images) are stored through our image-hosting provider (currently ImageKit) and may be automatically screened for prohibited content using a third-party content-moderation service (currently Microsoft Azure AI Content Safety). Profile and listing images are visible to other users as part of the marketplace.
Roommate Finder information
If you opt in to the optional Roommate Finder, we collect the details you provide for roommate matching: your gender and date of birth and, if you choose, the genders and age range you are open to sharing a home with, plus an optional roommate introduction. Your gender and date of birth are sensitive information, so we rely on your express consent: by turning on the Roommate Finder and providing them, you expressly consent to our collecting and using them for this purpose. This information is used only to match you with other renters. It is never shown to landlords and is never used in any landlord's selection of a tenant. We show other renters only your age, never your date of birth, and you can choose to keep your name and photo private from other renters. When you combine profiles with another renter, we also store your group membership and the group's combined housing criteria.
We use your personal information for the following purposes, and we identify these purposes to you at or before the time we collect the information:

Operate the marketplace, including matching renters with landlords based on compatibility scoring (budget, location, preferences, and other profile attributes).
•
Match renters who want to share a home through the optional Roommate Finder, using the gender, age, location, and lifestyle details you provide for that purpose. This is used only between renters and is never shared with landlords.
•
Display your profile to relevant users. Renter profiles are visible to landlords browsing the catalog; property listings are visible to renters.
•
Verify landlord identity, and detect and prevent fraud, abuse, and violations of our Terms.
•
Facilitate offers, messaging, and notifications between renters and landlords.
•
Calculate and display activity metrics (last active, response rate, response time) so both sides can assess engagement.
•
Process payments and manage subscriptions for landlord accounts.
•
Send transactional and service messages, including connection notifications, expiry warnings, and inactivity reminders.
•
Maintain, secure, troubleshoot, and improve the Service, and comply with our legal obligations.
The compatibility scoring we use to suggest matches only ranks and surfaces profiles and listings for users to review; it does not make any automated decision that produces a legal or similarly significant effect about you.
We collect, use, and disclose your personal information with your consent, which may be express (for example, when you submit sensitive or biometric information) or implied by your use of the Service for an identified purpose, except where the law permits or requires us to act without consent. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us or by deleting your account. Withdrawing consent may mean we can no longer provide some or all of the Service to you.
Our optional "fill it in for me" feature sends the text or listing link you submit to our third-party AI provider (currently Anthropic), which uses its model to extract information and suggest values for your profile or listing. We use this provider under its commercial terms, under which the provider acts as our service provider (processor), does not use your inputs or outputs to train its models, and retains the data only briefly to provide the service. The feature only suggests information for you to review, edit, and confirm. No automated decision is made about you, and you always review the result. The feature is optional; you can complete every field manually.
We do not sell your personal information. We share it only in the following circumstances:
With other users
As a marketplace, certain profile information is shared between renters and landlords. Renter profiles (including preferences, budget, activity metrics, and photos) are visible to landlords who subscribe to the catalog; property listings are visible to renters. Once an offer is accepted, the parties may communicate through the Service. Please be thoughtful about what you include in your profile, listings, and messages.
If you use the Roommate Finder, the roommate details you provide (including your gender, age, and any roommate preferences) are shared only with other renters in the Roommate Finder, never with landlords. When you combine profiles, landlords see only the group's combined housing criteria (such as budget, occupants, and bedrooms), not any member's gender, age, or roommate preferences. Each member also continues to appear individually.
With our service providers
We use trusted third-party service providers to operate the platform, and we share personal information with them only as needed to provide their services to us. We require these providers to protect your information and to use it only for the purposes we specify. Our current providers, and the data they handle, include the categories below. We may add, replace, or change service providers (including moving to in-house solutions) from time to time; we will keep this Policy current and continue to require comparable protection.

Authentication (currently Clerk): name, email, and sign-in credentials.
•
Payment processing (currently Stripe): billing details. Card information is handled by the processor and is never stored on our servers.
•
Identity verification (currently Stripe Identity): government ID and selfie for biometric verification, handled by the provider as described in Section 2.
•
Image hosting and moderation (currently ImageKit and Microsoft Azure AI Content Safety): uploaded photos.
•
AI processing (currently Anthropic): text you submit to our AI features, as described in Section 5.
•
Application hosting (currently Vercel): request logs and IP addresses.
•
Database hosting (currently Railway): stored application data.
•
Mapping and geocoding (currently Mapbox): city and address search queries.
•
Email delivery (currently Resend): email address and notification content.
Business transfers
If we are involved in a merger, acquisition, financing, or sale of assets, your personal information may be transferred as part of that transaction, subject to the receiving party continuing to protect it in a manner consistent with this Policy.
As required or permitted by law
We may disclose your information when required or permitted by law, or in response to valid legal requests such as subpoenas, court orders, or government or regulatory demands, or to protect the rights, safety, or property of Rentive, our users, or the public.
We and our service providers process and store personal information in Canada and in other countries, including the United States. Several of the providers listed above are located in or operate from the United States, so your personal information may be stored or processed there or elsewhere outside Canada.
While your personal information is in another jurisdiction, it may be accessible to the courts, law enforcement, and national-security or other government authorities of that jurisdiction under that jurisdiction's laws. We remain accountable for your personal information when it is processed on our behalf, and we use contractual and other means to ensure that our service providers give it a comparable level of protection, as required by Canadian privacy law.
We retain your personal information only as long as necessary to fulfil the purposes for which it was collected, to provide the Service, and to meet our legal, accounting, or reporting obligations. Specifically:

Active account data is retained for the duration of your account.
•
Renter accounts that are inactive for an extended period may receive an inactivity warning and may be hidden from the catalog.
•
Offers and related records are retained for record-keeping, fraud prevention, and dispute-resolution purposes after they are no longer active.
•
Where we use your information to make a decision that directly affects you, we retain it for at least the minimum period required by applicable law.
•
If you ask us to close your account or delete your data, email support@rentive.ca and we will remove or de-identify your personal information within a reasonable timeframe, except where retention is required by law or for legitimate purposes such as fraud prevention, security, or resolving disputes.
We maintain reasonable administrative, technical, and physical safeguards designed to protect your personal information against loss, theft, and unauthorized access, use, or disclosure, including:

Secure authentication, with support for multi-factor authentication, through our authentication provider.
•
Payment processing through a PCI-DSS-compliant processor. We never store your full payment card details on our servers.
•
Encrypted data transmission via HTTPS across all endpoints.
•
Role-based access controls so users and staff can only access data appropriate to their role.
No method of transmission or storage is completely secure. While we work to protect your information, we cannot guarantee absolute security.
If a breach of security safeguards involving your personal information creates a real risk of significant harm to you, we will notify you and report to the Office of the Privacy Commissioner of Canada as soon as feasible, in accordance with PIPEDA. We maintain records of security breaches as required by law.
Subject to applicable law, you have the following rights regarding your personal information:

Access: request confirmation of, and access to, the personal information we hold about you and how it has been used and disclosed.
•
Correction: request correction of inaccurate or incomplete information. You can update most profile information directly through the Service.
•
Withdraw consent / deletion: withdraw your consent and ask us to close your account and delete your associated personal information, subject to legal and contractual limits. Email us and we will handle the request.
To exercise any of these rights, contact our Privacy Officer at support@rentive.ca. We may need to verify your identity before responding, and we will respond within the time required by applicable law (generally 30 days). If we refuse a request, we will explain why.
The Service uses cookies that are essential to its operation:

Authentication cookies: managed by our authentication provider to maintain your signed-in session.
•
Preference cookies: used to store display preferences (such as colour scheme).
We do not use third-party advertising cookies or tracking pixels, and we do not sell your browsing data to advertisers or data brokers.
The Service is not directed at individuals under the age of 18, and we do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child under 18, we will take steps to delete it promptly. If you believe a child has provided us with personal information, please contact us at support@rentive.ca.
We may update this Privacy Policy from time to time to reflect changes in our practices, our service providers, or applicable law. We will post the updated Policy with a new effective date and, for material changes, provide notice through the Service or by email.
